This is a simple planning model, before profit, tax and any costs you have not entered. It does not assess affordability or finance eligibility.
How to use the planner
For an outright purchase, enter the equipment price. For financed equipment, enter only the deposit and other equipment cash payable at opening, then put the regular payment in monthly finance repayments. Do not count the full equipment price and repayments for the same purchase.
Use cash figures inclusive of VAT where you must pay it, without assuming an immediate VAT refund. Include delivery, installation, lease fees, insurance, software, marketing and a contingency in the appropriate cost fields. Include your pay and instructor costs, either in fixed costs or variable costs, without counting them twice.
Use the average income you actually keep after package discounts and any VAT due, rather than your highest advertised class price. Include card fees and other booking costs consistently.
The calculation
Opening cash = equipment + fit-out + other opening costs. Reserve = (monthly fixed costs + repayments) × reserve months. Funding gap = opening cash + reserve − available cash, with a minimum of zero.
Break-even bookings = monthly fixed costs and repayments ÷ (income per booking − variable cost per booking), rounded up. Monthly capacity = reformers × weekly sessions × 52 ÷ 12. This assumes one paying customer per reformer per session. It does not model launch dates, holidays, ramp-up or seasonality.
